The brief behind the platform

The business already had a WordPress website for fixed-rate cleaning. It needed more than another public form: staff also needed a dependable place to manage customers, quotes, appointments, reviews, promotions, subcontractor activity and weekly pay.

We built the custom system around that real operating model. The fixed-rate flow could continue working with WordPress, while a new hourly website and booking flow used the same operational foundation.

To support the transition, we migrated the company's existing customer base from Excel spreadsheets into structured customer records in the new system. New requirements have continued to be added as the business has evolved.

A dedicated website for hourly cleaning

The hourly experience explains the service before asking customers to book. Its pages move from broad benefits into service detail, then carry the visitor into the scheduling flow.

Hourly booking, built around availability

Customers enter the practical details the team needs to schedule the work: contact information, address, date, duration, preferred arrival time, cleaning type, payment method, notes and SMS consent. The system checks the company's Microsoft Office 365 calendar through the API and returns only the available appointment slots rather than accepting an unqualified time request.

A fixed-rate flow that works with WordPress

The original marketing website stays on WordPress, but customers do not lose the benefit of the custom scheduling system. The integrated fixed-rate journey gathers service details, checks bookable times and sends the finished appointment into the same back office.

The back office behind the customer experience

The administration system is organized around the actual work of running the cleaning company, not around generic website pages.

Bookings, quotes and customer relationships

The day-to-day workspace brings incoming demand, scheduled work and customer history into one place. Staff can follow a request from quote to appointment and retain the feedback that follows the job.

Service coverage and scheduling rules

Service areas and ZIP codes give the booking flows a shared source of truth for where the company works and which requests can proceed.

Subcontractors, work logs and weekly pay

Subcontractors have a restricted dashboard for recording completed work. Those entries support weekly logs, sales summaries and paystub calculations without exposing the rest of the administration system.

Names, addresses, figures and other information visible in these screenshots come from the local demonstration environment and are shown only to illustrate the workflow.

Integrations that remove duplicate work

Office 365 calendar availability and sync

The booking system checks the company's Microsoft Office 365 calendar through the API to find available slots. Confirmed appointments are then created and updated through Microsoft Graph and Azure, keeping the operational calendar aligned with the custom system.

Customer data migration and exports

We migrated the existing customer base from Excel spreadsheets into the new system. PhpSpreadsheet also supports customer exports and generated paystub data without requiring staff to rebuild operational records by hand.

SMS with Twilio

Transactional SMS supports time-sensitive appointment communication, including confirmations and customer updates.

Email through Mailgun

Application email covers booking communication and supports the promotion workflow managed by the team.

Engineering decisions worth explaining

Keep two booking models on one operational foundation

Fixed-rate and hourly customers take different paths, while staff manage the resulting work through a consistent back office.

Make coverage and slots business-managed data

Service areas, ZIP codes and availability rules can change without rebuilding the public website.

Separate subcontractor access

Role restrictions give subcontractors the job-entry tools they need without exposing customer administration or business controls.

Develop with the business over time

The system has continued to expand since 2019 as new operational requirements have become clear.
